How Ask HR uses AI

This page supplements your company's agreement with Innovative Encompass and Encompass HR's privacy settings; it does not replace them.

Ask HR is an optional Encompass HR assistant: staff ask about HR policies and their own records and get short answers.

It is off by default

It works only after Innovative Encompass enables it for your company and your company administrator switches it on. Payslip questions need the same two steps.

Where answers come from

Only policy documents HR has marked as Ask HR sources, and the signed-in employee's own records; never general knowledge about your company or the law. If the answer is not there, it says so and offers to send the question to HR. Every answer links to its source.

Not advice

Ask HR gives no legal, tax or HR advice and never explains tax, EOBI or social security rates; it only shows amounts from your own payslip.

The AI provider

Answers are written by Claude, Anthropic's AI model, through its paid business service. Under its commercial terms, Anthropic does not train its models on these questions and answers and deletes them from its own systems within 30 days.

What is sent with a question

• your question, plus the last few questions and answers in the same chat (amounts hidden);
• the sections of your company's Ask HR policy documents;
• today's date, your work time zone and the company name;
• when needed, only your own leave balances, leave requests (dates and status only), one month's attendance, the company holiday list and, if switched on, your payslip summary.

What is not sent

Your name, employee code, CNIC, bank details, address or phone number; other employees' records; payslip PDFs or other documents. Anything you type is sent, so leave out unneeded personal details.

Records we keep

Questions and answers are kept in your company's own Encompass HR database for 90 days, then deleted; amounts in answers are hidden. Your company's account administrator sees who asked what, when, and the sources used, not the answers.

Limits

Monthly limits on questions and spending per company, and an hourly limit per person. When one is reached, Ask HR pauses until it resets.

Switching it off

Your company administrator can switch Ask HR, or only payslip questions, off at any time in Settings, or ask us at info@innovative-encompass.com. On-premise installations use the customer's own provider account.
